Terms & Conditions

BRG guarantees that our screen prints will last for the lifetime of the garment.* 

Project Details:

We will work with you to gather information and/or suggest the best products for your job. We will need the following information so that we can accurately provide you with a quote:

Item Selection:

Your quote is based on the items, quantities, and art specified. Any changes to the item, quantities, or art will extend the production time and require a new quote. 

Order Minimums:

You must order a minimum of 24 pieces for screen printing and embroidery.


Customer-supplied art should be provided in vector format (.ai, .pdf, or .eps). Blue Ridge Graphics will only reproduce your artwork with order approval & pre-payment.

If you do not have art, our graphic artists can help. We charge $85 per hour for custom artwork, and the first hour of art is free.

Custom artwork created for your screen print or embroidery job is the property of Blue Ridge Graphics. Rights to the artwork can be purchased for an additional fee.

Art Approval:

For all new jobs, customers will receive an art proof for approval prior to production. It is the customer’s responsibility to review the proof carefully to ensure the art, colors, and placement are accurate. Production will not start until the proof has been approved. Delays in approval will impact production timelines. BRG is not responsible for proofs approved with errors.

Upfront Payment:

Orders must be paid in full prior to production. You may pay with ACH, cash, card, or check. If paying with a credit card, orders over $1000 will incur a 3% surcharge. Established customers in good standing may apply for financial terms. 

Production Timelines:

Begins after: 

  1. Submission of final sizes & quantities to BRG 
  2. Art approval by the customer and 
  3. Payment

Please keep in mind that extremely large orders, special effects, or complex designs may take longer, as well as any circumstance outside of BRG’s control, like stock issues or weather delays that could impact turnaround time, but we will be sure to cover that with you. 

Rush Service:

If you need a Rush order on screen printing, embroidery, or promo items – let us know we’re happy to help. Keep in mind that rush orders do come with added costs. Expedited rush service options vary from overnight to next day, as well as 3-5 days, and are based on the size of the order and product availability. 

Environmental Fee:

A fee of $5.95 will be applied to every screen print order. This fee aids with keeping our printing processes as sustainable as possible and helps cover the bioremediation of inks. 

Digitizing Fee:

All new embroidery designs will incur a one-time $45 digitizing fee per embroidery location. Fees will be waived for orders of 100 pieces or more.

Out-of-Stock Items:

BRG is not responsible for out-of-stock items. We do our best to ensure that inventory is available when providing you with a quote; however, we cannot hold items with our suppliers. Should an item be out of stock, we will do our best to find a suitable replacement.

Order Pick-Up/Delivery:

We offer three delivery options:  pick-up, shipping, or delivery. Delivery methods must be established before finalizing your order. Free delivery for pre-scheduled, large-volume orders is available to business locations around the Charlottesville area. If the order is shipped, standard UPS rates will apply and will be billed accordingly. If you are picking up your order, pick-up hours are Monday-Friday, 8:30 am to 5:00 pm. When you arrive, please call 434-296-9746 and press 1. Let us know your name and the job number on the invoice, and we will bring your order to you.


Both screen printing and embroidery are a blend of art and manufacturing. Even though we do our best to ensure that precautions are taken, defective garments and decorating errors can happen. Our standard under/over allowance is 2-4% and will be considered acceptable for delivery or pickup. You will only be charged for the total number of pieces that are delivered. 

Exact Sizes Needed:

If your project or event needs exact sizes, you must: 1.) alert your account manager that required quantities/sizes are necessary and 2.) add 3-5% over the requested number of pieces. The overage will help offset in case of defective garments (e.g. blank garments arriving with holes, stains, etc. from the manufacturer’s mill) or issues arising during a production run. In the event that you do have a shortage, we do require a minimum purchase of 24 pieces for all reprints. 

Order Changes & Job Cancellations:

After job approval, a restocking fee will be charged if a customer wishes to change garments after goods have been ordered. Restocking fees are dependent on the quantity of goods that must be returned and return shipping charges. Customers are responsible for all these fees if they initiate product changes, modifications, or cancel an order after items have been ordered. Jobs may be canceled if production has not begun.

Refunds and Returns:

We do not accept refunds or returns. All orders are custom work and decorated based on customer approval. Customers must be sure that all job details are correct before approving jobs for production. If, for some reason, you do receive an item with a manufacturing or printing defect, please notify us within 7 days of order receipt. If we make an error, we will work with you, at our discretion, to provide either a refund or a replacement item in exchange for the unused/unworn defective item.

Customer-Supplied Goods:

Customer-supplied goods are accepted with the acknowledgment that BRG is not liable for any normal production defects, stains, or damage. All goods are left at your own risk, and we will not replace items or reimburse their value except in cases of improper decoration. For this reason, we prefer to decorate goods from our suppliers so they can be replaced should a production error occur. 

Customers are also responsible for: 1.) providing accurate counts of the goods they deliver/ship to BRG 2.) affirming that all items are new (BRG does not decorate previously-worn apparel) 3.) verifying their items, colors, and quantities are correct before delivery to BRG 4.) if items are individually bagged, all items must be unbagged before being dropped off. If items are left unbagged, a per-piece fee will be assessed and added to the cost of the project.

Drop-shipping customer-supplied goods to BRG is possible as long as advance notice is given. 

Blank Apparel:

We are not a blank apparel supplier. If you would like to see a sample prior to placing an order, samples may be purchased upon request. 

Social Media:

Blue Ridge Graphics is proud of the work that we produce and from time to time, we like to share that work with our followers on social media. We will make every effort to tag you in our posts so we can help increase your followers, too. Our current social platforms are Facebook, Instagram, and LinkedIn. Please let your account representative know if you do not want your apparel or promotional material shared online. If you do not notify us, we will assume that we have full permission to post images of your job.

Privacy Policy:

We protect personal and client information to the best of our ability and in accordance with all local, state, and federal laws. 

Acceptance Clause:

Use of services constitutes acceptance of our Terms & Conditions. Blue Ridge Graphics reserves the right to change and/or update Terms and Conditions at any time and without notice.

Limited Liability:

Blue Ridge Graphics is not liable for misuse or harm that may arise from the use of our products or services. This includes but is not limited to Copyrighted or Trademarked Material (we will not knowingly reproduce any copyrighted material and are not liable for any claims, lawsuits, or other legal issues arising from the use of the material)l; Missed Deadlines, Canceled Orders, Shipper Errors, or Misprints.
